The venues booked in, catering confirmed all RSVP's received and that speaker (and his list of requirements...diva) has been locked in and suddenly one of the hotel staff comes to you and say's,

 "yeah it's a shame that there are construction works scheduled for the restrooms today... we've let the cafe next door know though and they're cool for you guys to drop in and use the toilets, pretty cool of them aye?"

A solid check list will make sure unexpected "inconveniences" such as this don't pop up. 

We have perfected our Event Pre-Mortem over the years. This techniques key purpose is to have a solid brainstorming session to produce all the things that could go wrong. We then work backwards to make sure that they don't. Venue communication is definitely vital and we are experts at it!
